Subject: IAG Scientific Assembly 2009 From: wamartin@igac.gov.co Date: Sun, 10 Jun 2007 21:39:15 -0500 To: iag@gfy.ku.dk Dear Professor Tscherning, These are the answers to the questionaire related to the venue and organization. 1. Where will the meeting take place? The meeting will be held in the city of Cartagena de Indias – Colombia, Historical Patrimony of Humanity (UNESCO, 1985) 2. What is the maximum capacity of the major conference hall? The Major Conference hall is the Convention Center of the city. Its Getsemaní Auditorium has 1475 seats (http://www.corpocentros.com/) 3. Will rooms for smaller meetings be available? If yes, which sizes? The Barahona Hall, that has a maximum capacity of 1800 seats (auditorium), can be divided in four rooms, with capacities between 250 and 550 people. If this Convention Center is too big, allocations are available for the Assemlbly in hotels like Almirante (http://www.cartagenacaribe.com/en/hotels/almirante-cartagena/congresos.htm) Hilton, Santa Clara (at the heart of the historic city and Las Américas - http://www.cartagenacaribe.com/en/hotels/santa-clara/congresos.htm -) or Las Américas (http://www.cartagenacaribe.com/en/hotels/las-americas/congresos.htm). With capacities from 1050 to 350 people in auditorium configuration and, all of them with alternative rooms. 4. Have other geodetic meetings been organized in the same venue? If yes, which ones? How many participants? Yes. IAG Symposium on Vertical Reference Systems –VeReS-. February 20 to 23, 2001. About 130 participants of 30 countries. 5. Which time period(s) do you propose? Between February and May or between August and November 6. Who will be the organisation responsible for the meeting? The Agustin Codazzi Geographic Institute of Colombia (IGAC). 7. Who will be the chairperson of the Local Organizing Committee? Iván Darío Gómez Guzmán, Director General. 8. Which other organizations will support and sponsor the meeting? Not confirmed but very probable, according to past experiences, the Pan American Institute of Geography and History (PAIGH). 9. Are there any specific aspects of geodesy you would like to emphasize at this meeting? It could be very useful to focus the Assembly on the deep relation that exists between the scientific geodetic research, the practical aspects ("Geodesy on the move") and the integration with the many others Earth-related sciences, under the umbrella of GGOS. (The final decision on the technical program is made by the IAG Executive, but your input would be very much appreciated) 10. Any other information you would like to add? Because of the Caribbean and historic character of the city of Cartagena de Indias, and the happiness, hospitality and responsibility of Colombian people, IAG 2009 Scientific Assembly will be really successful and so fine regarded by the geodetic community as VeRes Symposium has been. COSTS 11. Which registration fees are you planning to charge? Please include a $ 20 IAG fee in this amount. (Although it is difficult to predict these fees accurately, it is expected that the actual fee will not exceed the proposed fee by more than 10%). Approximately € 300. 12. Do you expect major financial or in-kind sponsorship by government and/or industry. If yes, indicate what they might be used for. Invitations for IAG special guests, meals and cultural program. 13. What are the price ranges of hotels within 3 km of the venue? What would be an average price for hotel accommodation (current price)? Prices range widely. It is possible to find low cost accommodations (approximately €45) and higher prices in the order of €130 – €200 14. Is low-cost (student) accommodation available? If yes, at what price? How many rooms? 15. Can the venue be easily reached by public transportation (bus, tram, subway)? Normally, in Cartagena de Indias meetings, conferences, etc., are reached by buses provided by the hotels. Nevertheless taxis could be a good option. Normally the costs of taxi are from €2 to €10. Kindest Regards, William Martínez-Díaz
